Get more Google reviews: legal, simple, sustainable

You get more Google reviews by personally asking all customers for an honest review at the right moment and making it as easy as possible: with a direct review link, a QR code on site and a short message by email or WhatsApp. Buying or faking reviews, offering rewards for reviews and only asking happy customers are not allowed; this violates Google's policies and can be misleading under the German Act against Unfair Competition (UWG).
Why are Google reviews so important?
For many people, reviews are the quickest way to form an opinion about a business they do not know yet. They appear directly in the Google Business Profile, in Google Maps and in local search, exactly where the decision to call or visit is made.
According to Google, reviews are among the factors that influence a business's prominence in local search. AI assistants also draw on publicly available information when they describe businesses. What matters is not only the star rating but also that reviews keep coming in, are recent and receive replies.
The good news: most satisfied customers do not write a review because nobody asked them or because it is too much hassle. That is exactly where the following steps come in.
When is the right moment to ask?
Ask when the service has been delivered and the customer has just experienced the result. In a restaurant that is when paying, in the trades at handover, in a practice after the appointment, in an online shop a few days after delivery. The closer the request is to the experience, the easier it is to write a few sentences.
A personal request works best. A short, honest sentence is enough, for example: "We would be glad if you left us a review on Google. Your honest opinion helps us and other customers." Important: ask all customers for an honest review, not only those you expect to praise you.
- Restaurant and café: when paying, or with a note on the bill.
- Trades and construction: at handover or with the final invoice.
- Practice and law firm: after the appointment or once the matter is closed, respecting confidentiality.
- Online shop: by email a few days after delivery.
- On-site services: right after the job, in person or by message.
How do you make it as easy as possible for customers?
Every extra click costs reviews. Customers should not have to search for your profile first. In your Google Business Profile you will find the option to ask for reviews. It gives you a direct link that opens the review window immediately.
Use this link wherever you are in contact with customers. From the same link, create a QR code that customers can scan on site with their phone. Make sure the code is large enough and placed where people wait for a moment anyway.
- Direct review link from your Google Business Profile.
- QR code at the counter, at the till, in the waiting room, on the table or on the invoice.
- Link in your email signature and on the website's contact page.
- Short note on business cards, delivery notes or invoices.
How do you ask existing customers by email or WhatsApp?
If you have never asked for reviews before, your existing customer contacts hold a lot of potential. A short, personal message with the direct link is enough. Only send it to people you have actually been in contact with, and respect data protection: you need a suitable legal basis for messages to customers, and advertising by email or WhatsApp without consent is problematic. So keep it to a simple request without advertising.
A template you can adapt:
Dear Ms Sample,
thank you for choosing us.
If you have a moment, we would be glad
to receive your honest review on Google:
[direct review link]
Your opinion helps us and other customers.
Kind regards
[Name, business]- Address people personally, keep it short, include just one link.
- Ask for an honest review, not for "five stars".
- Follow up once at most, never push.
- Do not offer or hint at anything in return.
Why should you reply to every review?
Replies show that there are people behind the profile who listen. They are read not only by the authors but by everyone who visits your profile later. Thank people personally for positive reviews and pick up on a detail instead of using the same standard sentence every time.
Negative reviews are uncomfortable, but often an opportunity. A calm, factual reply usually leaves a stronger impression on readers than the criticism itself. Here is how to approach it:
- Take a breath first, then reply, never in anger.
- Thank the reviewer for the feedback and take the concern seriously.
- Explain factually, without revealing personal or confidential customer data.
- Offer a solution and name a direct way to get in touch.
- Report reviews that violate Google's policies, such as insults or content without a genuine customer experience, through the profile.
What is not allowed with Google reviews?
Some methods promise more reviews quickly but violate Google's policies. Google can remove such reviews and restrict profiles. In addition, these practices can be considered misleading under the German Act against Unfair Competition (UWG), because they give consumers a false picture. This can lead to formal warnings and cease-and-desist claims.
So avoid the following practices completely:
- Buying reviews, whether from agencies, platforms or private individuals.
- Rewards for reviews: discounts, vouchers, free drinks, prize draws or other benefits, even if you explicitly ask for an "honest" review.
- Review gating: first asking about satisfaction and only sending happy customers to Google while directing unhappy ones to an internal form.
- Fake reviews from employees, family, friends or invented accounts.
- Writing reviews about competitors or having them written.
- Writing reviews on behalf of customers or giving customers a ready-made text.
How do you build a lasting routine?
More reviews do not come from a one-off campaign but from a fixed habit. Decide who in your team asks and when, where the QR code and link are placed, and who replies to reviews. Set aside a fixed slot for this every week.
It is just as important that your website and Google Business Profile match, so that new customers can find their way to you straight after reading the reviews. If you would like support with this, you can reach Clieni Media at Contact.
Frequently asked questions
Can I give customers a discount for a Google review?
No. Rewards for reviews violate Google's policies and can be misleading under the German UWG, even if you ask for an honest review.
Can I ask only happy customers for a review?
No. Selectively choosing happy customers, known as review gating, is not allowed under Google's policies. Ask all customers equally for an honest review.
Where do I find my direct review link?
In your Google Business Profile, via the option to ask for reviews. You can share the link by email or WhatsApp and turn it into a QR code.
Can I have a negative review removed?
Only if it violates Google's policies, for example insults or content without a genuine customer experience. In that case, report it through the profile. Legitimate criticism is best answered factually with an offer to resolve it.
